Factusol
With the Factusol link, the goods received notes Dijit has read come out in a file you import into Factusol as goods-in documents, without entering the data by hand again.

How Dijit connects to Factusol
The connection to Factusol goes through the maker's own official files, following their guidelines. Dijit generates those files and you import them into your Factusol, from Utilidades › Importaciones.
That is why Dijit's settings ask for six details of your Factusol (warehouse, series, numbering and VAT rates) and for no password and no server address: Dijit does not go into your Factusol, it hands it the files.
The download button and the parameter group appear once the integration is switched on for your company. You switch it on yourself when you sign up, by choosing Factusol as your program. If you did not do it then, ask Dijit IA for it: the assistant prepares the ticket and support switches it on.
The codes that have to be in place
The file has to carry Factusol codes for the supplier and for the items, because it does not accept names or descriptions. You supply those codes the first time, inside Dijit, so that Dijit learns them and fills them in by itself from the second time on:
- The supplier's code. It is the number that supplier has in your Factusol. You type it in Dijit, once per supplier, in the FACTUSOL supplier code box in the delivery note header. It is kept on the supplier's record in Dijit, in the Referencia field of the supplier master, and from then on it goes in by itself on every delivery note from that supplier.
- The item's code. It is the code that item has in your Factusol. You give it in Dijit, once per item, on the delivery note line: press ERP item assignment and pick it in Catalogue item, from your external product catalogue, or type it into ERP reference code. It is kept in Dijit and, from there on, that item's lines arrive with it already filled in.
If either one is missing, Dijit does not generate the file and tells you which document and which line is short.
The item code only goes in on the lines that arrive from that moment on. The lines that were already there without a code stay as they were: those you assign one by one.
The lines file takes thirteen characters for the item code. If yours is longer, it travels cut short and Factusol does not recognise it.
That first time being manual is not a reading failure: it works that way in every integration, and there are four concrete reasons why no system can get that match right on its own.
The supplier code box, step by step
Documents › Purchases › Goods received notes › open a delivery note
The delivery note header, with the integration switched on, has the FACTUSOL supplier code box. Type into it the number that supplier has in your Factusol and save the header. The box's rules:
- Digits only, up to five. Type anything else and you get Digits only, up to 5. and the header is not saved until you fix it. With a code that is not digits, Factusol would file it under supplier 0 without saying so.
- Leave it empty and the code is cleared from the supplier's record in Dijit.
- If the document has no supplier yet, the box is off and reads Assign a supplier first.
What you type there is kept on the supplier's record in Dijit, not on the document. That is why it counts for every delivery note from that supplier, today's and the ones still to come, and why you only have to type it once.
The six settings
Account › Parameters › FACTUSOL
Open Parameters and the group is there with its six boxes empty the first time. They are these:
| Box | What goes in it |
|---|---|
| Código del almacén de entrada | The Factusol warehouse the goods come into. |
| Serie de la entrada de mercancía | The document type Factusol opens the goods-in with. |
| Último número de entrada usado | The goods-in counter. Dijit keeps it and moves it on with every file. |
| Tipos de IVA, en el mismo orden que en FACTUSOL | The rates separated by commas, for instance 21,10,4. The lines file does not carry the percentage: it carries the rate's position, exactly as the rates are set up in your Factusol. |
| Estado de la entrada (0 pendiente / 1 facturada) | The status the goods-in is born with in Factusol. |
| Qué se genera (ENTRADAS / FACTURAS / AMBAS) | Today the file is always a goods-in file. |
In the VAT rates, put in every rate you use. If a line carries a percentage that is not on that list, it goes into the file as exempt.
Without the warehouse and the series nothing is generated: Dijit says they need setting up before the files can be produced.
How the file is generated
Documents › Purchases › Goods received notes
- Tick the delivery notes you want to pass to Factusol.
- Press the export button on the action bar, the one whose tooltip reads File for FACTUSOL.
- If everything can be represented, the browser downloads a ZIP with the goods-in number in its name, for instance FACTUSOL_900004.zip, and the message FACTUSOL file downloaded appears.
- Unzip it into a folder and import the files into Factusol, from Utilidades › Importaciones.
The button works only on what you have ticked. Tick nothing and there is nothing to generate.
What is in the ZIP
The ZIP holds three files, and each one comes twice: as .xls and as .ods. The contents are the same; only the format changes, because Factusol has one import button for each. You use the three files of one format and leave the other three.
| File | What it holds |
|---|---|
| ENT.xls and ENT.ods | Each goods-in header: series, number, date, supplier, warehouse, status and the amounts per VAT rate. |
| LEN.xls and LEN.ods | Each goods-in line: item, quantity, price and the position of the VAT rate. |
| SEN.xls and SEN.ods | The lines' batches. They only turn up if some line carries a batch. |
How to import it into Factusol
Utilidades › Importaciones
That group has two buttons for this, and each one looks for the files of its own format:
| Button | When to use it |
|---|---|
| Ficheros .XLSX / .XLS | Only if you have Microsoft Excel installed with its licence. Factusol asks Excel to read the file for it. |
| Ficheros .ODS | If you do not have Excel. It needs no other program. |
Either one leaves the same goods-in note in Factusol. In the window that opens:
- Under Ubicación, pick the folder where you unzipped the file.
- Leave Fila inicial at 1. The files carry no heading row, so the data starts there.
- Tick Entradas only, under Compras.
- Press Aceptar.
Unzip each download into its own folder. If the files of two downloads end up in the same folder, Factusol imports the one it finds by name and you can take the wrong delivery note into stock.
Splitting a line into batches
A line can be split across up to three batches. The batch goes in the Lote column of the item list, which you add from the column picker.
Next to the field is a button whose tooltip reads Split into several batches, and it opens the Line batches window. Inside it:
- Batch 1 carries no quantity. It takes the rest of the line quantity, so the split always adds up to what the delivery note says.
- Batch 2 and Batch 3 carry their batch number and their quantity. You add them with Add batch and take them away with Remove batch.
If an added batch is left without a quantity, or the two of them eat the whole line quantity, the file is not generated.
Batch 1 also carries the consumption date, which comes from the Fec. Cad. column of the item list, the one you add from the same column picker. Batches 2 and 3 travel without a date.
The goods-in number
The goods-in number belongs to Factusol and does not exist in Dijit. The Último número de entrada usado setting keeps it: Dijit hands the next numbers out among the delivery notes in that download and saves the last one when it finishes.
It starts high on purpose, because customers also number goods-in by hand. Change that number and the next download carries on from wherever you left it.
The counter moves on with every download, even if you never import the file into Factusol. Download the same delivery note twice and each ZIP carries a different number: import one of the two, not both.
The list of problems
Dijit checks everything you ticked before it generates. If something cannot be represented it generates nothing at all, not even the documents that were fine, and opens the The file cannot be generated window with the list of what to put right, document by document. That is deliberate: better to fix it in Dijit than to put a goods-in into Factusol that moves no stock, or whose batches do not add up.
| What the list says | What to fix |
|---|---|
| The supplier has no FACTUSOL code | Type it into Dijit: either FACTUSOL supplier code in the delivery note header, or Referencia on the supplier's record. |
| A line with no FACTUSOL item code | Assign the item on that line, in Dijit, or type its Factusol code there. |
| It has more than three VAT rates | The file takes three. Split the delivery note or go over the breakdown. |
| It has no lines | Check how the delivery note was read: with no lines there is no goods-in to create. |
| A batch with no quantity, or batches beyond the line quantity | Open Line batches and make the split add up. |
Things that come up
| What you see | Why | What to do |
|---|---|---|
| The file button is not there | The integration is not switched on for the company, or you are not on goods received notes. | Check the screen and, if it is the first, ask Dijit IA to have it switched on. |
| It says the warehouse or the series needs setting up | The FACTUSOL group in Parameters is empty. | Fill in the six boxes and save. |
| The ZIP has no SEN.xls or SEN.ods | No line in what you ticked carries a batch. | Nothing: that is normal when you do not work with batches. |
| Factusol says it cannot find the file, or that you have it open | You pressed Ficheros .XLSX / .XLS and that computer has no licensed copy of Microsoft Excel. | Close the message and press Ficheros .ODS, with the same folder. |
| Factusol imports the goods-in with the wrong VAT | The order of the rates in the setting does not match the order in the program. | Put the order right in Parameters and generate again. |
| Factusol says the goods-in number already exists | That numbering was used by hand in Factusol. | Raise Último número de entrada usado above what has been used. |
